Buying Assistant

We are looking for a real self-starter who thrives in a result-driven, creative environment. You must have the confidence and the ability to analyse data, negotiate and proactively propose action plans to move the business forward.

The ideal candidate will come from some Buying background – be it within a brand, retail or supplier environment. Must have a genuine, keen interest in young, fast fashion and pro-actively following the latest trends. You can multi-task, prioritise and to work to tight deadlines.

Technical knowledge of fabrics and garments construction is a plus.

The primary purpose of this role is to provide comprehensive administrative and operational support to the Buying Team. Effectively assisting the Product Manager in the range building, selection and procurement of merchandise, which supports overall Company turnover objectives.

Job Decription

  • Reporting into the Product Manager, contributing to decisions on the range and product mix.
  • Perform constant (weekly, quarterly, seasonally) sales performance analysis to support the Product Manager on the buying plans.  
  • Assist the Product Manager in capturing all relevant commercial and product information from weekly meetings and store visits.
  • Assist the Product Manager in maintaining awareness of fashion market trends and performing seasonal competition analysis. 
  • Assist the Product Manager in creating seasonal markdown plans.
  • Maintain buying spreadsheets and records with all product information.
  • Run all buying department reports, including weekly sales and sell-through reports.
  • With the help of the product manager, manage a small product category. Assemble line range, budgeting, planning, buying, in-season trades, markdowns proposal. 
  • Sizing orders and sending within the window of order due. 
  • Monitor current season stock and propose repeat orders where appropriate. Ensure all authorised reorders writing on time.
  • Booking in and authorising the release of deliveries, keeping track of critical path and alerting the team to any delivery issues.
  • Attend quarterly buying appointments and meetings in China (subject to change given current COVID19 impact).
  • Partner with the allocation team to ensure stock is moved between stores when required.
  • Partner with the allocation team to ensure new arrivals are sent to the stores according to the retail calendar and agreed season flow. 
  • Assist Marketing team to timely order and track the delivery of Photoshoot samples. 
  • Liaise with Yishion Singapore team in China to maintain the critical path each season.
  • Partner with VIM to ensure the product is correctly displayed and critical products have the right exposure. 

Requirements & Qualifications:

  • Educated to a degree level, preferably in a Fashion retail-related field. 
  • Must possess at least 1-year of buying experience in a retail environment.
  • Strong analytical skills and able to work with large databases. 
  • High proficiency in MS Excel is a must.
  • Good working knowledge of Microsoft Office Word and PowerPoint. 
  • Excellent written and verbal communication skills in Mandarin and English are essential.
